An application that matches the listing

Which apartment are you applying for? Give the address or listing reference. Briefly explain who would move in and when you need a home. If the layout or location suits you, mention one specific reason. Leave out general statements that could apply to any apartment.

A message template to adapt

Hello [name], I am interested in the apartment [address or reference]. We are [number] people looking for a home from [date]. We particularly like [specific detail from the listing]. [One short, accurate sentence about your situation.] Is the apartment still available? We would welcome a viewing. You can reach us at [contact]. Kind regards, [name]

Check before sending

Have you replaced every placeholder? Are the address, reference, number of people and moving date correct? Adjust the greeting too. Use the contact method requested in the original listing and provide only accurate information. The example helps with wording; it does not guarantee an offer.

Prepare documents selectively

Check which documents the provider requests and when they should be submitted. Keep a list of unanswered questions. Do not attach identity copies, bank details or other sensitive documents to the first message without a request. First check who you are dealing with and how documents should be sent.

Keep track of your applications

A simple table is enough: listing link, date of your enquiry, reply and next step. Check the conversation before sending another message. This helps avoid contacting the same provider twice by mistake and keeps viewing appointments in one place.
